Workstations are bought on price per seat and paid for over eight to ten years. Those are different numbers, and the gap between them is where most of the money actually goes.

Here is what the whole-life cost of a workstation consists of.

The four costs after purchase

1. Repair. Components fail: hinges, slides, castors, gas lifts, damaged worksurfaces, torn screens. On a 40-seat floor, expect a steady trickle from year two.

The cost depends entirely on whether a part can be replaced. A branded hinge is a catalogue item. A proprietary one on a discontinued system means the unit is scrap.

2. Reconfiguration. Offices reorganise. If the system unbolts and reassembles, this is a weekend of labour. If units were nailed, glued or built in, it is new furniture.

3. Extension. Adding seats that match. This depends on module standardisation and on whether anyone recorded the laminate code and drawing.

4. Replacement. The end of life. It arrives when the furniture can no longer be repaired, extended or reconfigured — not when it wears out. A physically sound system that cannot be matched or moved is functionally finished.

Where the cheap quote gets expensive

Every one of those saves money at purchase and costs more over eight years. The edge banding line alone can decide whether worksurfaces last five years or twelve.

What actually reduces whole-life cost

Standardise module sizes. Two or three widths across the office, not seven. This is free at purchase and worth a great deal later.

Specify branded, catalogue hardware. Hinges, slides, castors and gas lifts that can be bought again.

Insist on reversible fixings. Connector bolts between carcasses, not nails. This is what makes reconfiguration a labour cost rather than a purchase.

Get the specification in writing and keep it. Board type and thickness, laminate codes, edge band spec, frame section, screen height, hardware models, drawings. Two pages in a facilities file.

Buy a small buffer. Three to five per cent extra at the outset — a spare top, a spare screen, a spare pedestal — guarantees an exact match for the first repair and costs very little.

Why a local manufacturer changes the arithmetic
