Replacing workstations in an empty shell is straightforward. Replacing them in an office where forty people are working is the actual job most businesses face, and it is a logistics problem more than a furniture one.

Why phasing beats a single changeover

The instinct is to do everything in one weekend. That works up to roughly 20 seats. Beyond that, a single-shot changeover means:

• Old furniture dismantled and removed on Friday evening
• New furniture delivered, assembled, levelled and aligned Saturday and Sunday
• Electrical re-termination Sunday
• Any shortfall or damage discovered Sunday night, with staff arriving Monday

There is no recovery margin. One damaged worksurface or one missing raceway cover means people sitting on the floor.

Phasing splits the floor into zones and moves one at a time.

A workable phase structure

Zone sizing. Eight to twelve seats per phase. Small enough to complete in a day, large enough that the whole project does not take three months.

Decant space. You need somewhere for the displaced team to sit for one working day. A meeting room with folding tables covers eight to ten people. Identify this before starting — improvising it on the day is where phased rollouts go wrong.

Sequence per zone:

1. Team clears personal items into crates the evening before
2. Old furniture out, floor cleaned, electrical checked
3. New run installed, levelled and aligned
4. Raceway dressed, power and data terminated and tested
5. Team back the next morning

Order of zones. Start with the zone furthest from the entrance and work back toward the door, so material handling never crosses a completed area.

What has to be ready before phase one

• The full furniture layout approved and cabling verified against it
• All units for at least the first two zones manufactured and in stock
• Crates and labels for personal items
• Building permission for after-hours work, service lift booking, and security clearance for material movement

That last group is what stalls projects in multi-tenant buildings along the Hosur Road corridor. It costs nothing to arrange in advance and holds everything up if left to the day.

Holding stock matters here

The reason phasing works is that later zones can be manufactured while earlier zones are being installed. If your supplier produces the entire order in one batch and stores it elsewhere, a phased rollout gains you nothing.

We produce and hold locally, so a zone can be brought forward or pushed back by a week without renegotiating a delivery schedule. Snags found in zone one get corrected in the production of zone three rather than being carried across the whole office.

Plan for the leftovers

Old workstations have to go somewhere. Decide early whether they are being sold, donated or scrapped, and book the removal. Otherwise dismantled panels accumulate in a corner of the office for months.
