Furniture is the last thing installed in an office and the first thing blamed when a move date slips. Usually the furniture was ordered too late, because nobody worked backwards from the date they needed to occupy.

Here is what the sequence actually costs in time, so you can plan against it.

The stages and what drives each

Site survey — 1 day, plus availability. Needs the space accessible. If you are taking over premises, this cannot happen before handover from the landlord, which is often the first constraint.

Layout and drawings — 3 to 7 days. Depends far more on how quickly you respond than on how quickly they are produced. A layout waiting a week for your comments has cost a week.

Approval and finish selection — variable, and the biggest risk. This is where projects lose time. Samples go out, a decision-maker travels, a week passes. Compress this by identifying one person who can approve, before the samples arrive.

Production — 2 to 4 weeks for a typical 30-50 seat order, depending on scope and current load.

Delivery and installation — 2 to 5 days for that size, more if phased.

Electrical termination and snagging — 1 to 3 days.

Working backwards

For a 40-seat office, from first contact to a working floor, allow five to seven weeks if approvals move promptly. Six weeks is a realistic plan; four is possible only with immediate decisions and a straightforward scope.

If your lease starts on the 1st and you need to be working on the 15th, the furniture conversation should start about two months before, not after you get the keys.

What genuinely extends a lead time

• Non-standard laminates not held in stock — can add one to two weeks for procurement
• Imported or specialist hardware
• Late changes to the layout after production has begun — this restarts affected units
• Site not ready — flooring incomplete or painting still wet on the delivery date
• Building access not arranged: service lift booking, security clearance, permitted working hours

The last two are entirely within your control and cause most of the delays we see.

What Electronic City premises add

• Service lift dimensions and booking process
• Permitted delivery hours and whether after-hours work needs prior approval
• Security clearance requirements for vehicles, material and installer identity documents
• Whether the loading area can take the delivery vehicle size

Establishing these at survey stage rather than on the delivery morning is the single cheapest way to protect a schedule.

How to compress the timeline safely

1. Start the furniture conversation before you sign the lease. Survey can happen during the viewing.
2. Nominate one approver with authority over layout and finishes.
3. Choose from stocked laminates unless a specific finish genuinely matters.
4. Phase the order — get the workstations for the main floor in first, defer meeting and pantry furniture by a fortnight if needed. You can work without a conference table; you cannot work without desks.
5. Freeze the layout before production starts and mean it.
